Best spa booking software and best spa scheduling software: the front desk test

Booking is the part of spa software a client sees, and it is the part most likely to cost you money silently. A booking flow that asks for an account, hides availability behind a form or cannot handle two services back to back will lose bookings you never know about. The test is simple and comparable: book yourself, on a phone, cold, for two services with one therapist, and count what it takes.

Booking products small spas commonly shortlist, and the same test to run on each

Not a ranking. Siftvo publishes no score of its own and no vendor pays to be named here. The order is alphabetical and the line after each name is the thing to make that vendor show you in a demo, scored on your own sheet.

  1. Booksy: marketplace-led with published pricing: ask the per-booking marketplace charge and whether it can be switched off
  2. Boulevard: built around the front desk: break a booking at the desk with a room and therapist constraint
  3. Mindbody: wide feature surface: book two services back to back on a phone and count the steps
  4. Vagaro: per-seat pricing published openly: check whether the diary understands rooms as well as staff

Book yourself on a phone, cold

From a link, with no account, choose two services back to back, pick a therapist, add a card for the deposit and finish. Count the steps, note where availability is wrong, and see whether a deposit or a cancellation policy can be attached. Do the identical thing at every vendor. This one test separates products faster than an hour of demo and it produces a number you can put on the sheet.

Then break it at the desk

The client calls to move the appointment, wants a different therapist, and has a package to draw from. Ask reception to do it in the demo while the diary is busy. Rescheduling with a resource constraint is where scheduling products differ most, because the diary has to know about rooms, equipment and therapist skills at the same time, and plenty of them only know about one.

No-shows, deposits and reminders

What reminder goes out and when, whether the client can confirm from it, what a deposit or cancellation fee does to the booking, and what happens automatically when a card fails. Ask the vendor for the no-show rate change at a comparable business and take the answer to a reference call. Written rules about reminders and fees also have to match what you tell clients, which is your side of the arrangement rather than the software's.

Questions people ask about best spa booking software

Should clients be able to book without an account?

Almost always, because the account is the barrier. Ask how an accountless booking is matched to an existing client record so you do not end up with duplicates.

Does a marketplace listing help?

It brings bookings and it costs per booking, and some of those clients would have come anyway. Ask what the per-booking charge is, whether you can turn the marketplace off, and what happens to those clients if you leave.

Is there a best spa scheduling system?

Not one we will name. We publish no ranking and no vendor score. Run the same booking test at each vendor and score them on your own sheet.
