Nothing on this page is a market rate. The figures come from the numbers you type into the worksheet and the arithmetic printed next to each answer, and the worked example is there so the page is not blank before you start. Where a page cites a rule or a certification programme, the link goes to the document itself rather than to a summary of it.
A comparison chart is a grid, and most of the ones circulating are the wrong grid: columns of vendor marketing features with a tick under every one. The chart that is worth filling in has your requirements down the side, your vendors across the top, and a score rather than a tick in each cell, because a tick cannot tell the difference between a feature that exists and a feature that works the way your front desk works. Here is how to lay one out and how big it is going to get.

Rows are your requirements, in weight order
Must-haves at the top, nice-to-haves below a visible line, and the weight printed in its own column so nobody has to remember it. A chart whose rows came from a vendor's own feature list is that vendor's chart, not yours.
Cells are scores out of three, with a note
Zero for not there, one for there but awkward, two for fine, three for better than what you do now. The note beside the score matters more than the score in six weeks, when somebody asks what was actually wrong with the second option.
Add the three rows people forget
What it costs to get your data out, who owns the record if you leave, and how long implementation actually takes with your team's hours in it. These decide more switches than any feature row and they never appear on a vendor's own chart.
Print it and take it to the meeting
The chart earns its keep in the room where the decision is signed off, so it has to be readable on paper by somebody who was not in the demos. If it needs explaining, it is too wide: cut the nice-to-haves rather than the notes.

How big does the chart get? Rows are your requirements plus three, columns are your vendors, and the sheet on this site counts the cells for you. Four vendors and twenty requirements scored by three people is 240 judgements, which is a morning, not a fortnight.
Should the chart show prices? Put the quote on it as one row and work the real cost separately. A per-seat price in a cell invites you to compare two numbers that cover different things, which is exactly the trap the cost calculator exists to close.
Can I use somebody else's comparison chart? Only as a source of questions. A published chart carries the publisher's weighting, and the weighting is the part of the decision that is actually yours.
