Nothing on this page is a market rate. The figures come from the numbers you type into the worksheet and the arithmetic printed next to each answer, and the worked example is there so the page is not blank before you start. Vendors price EHRs in three or four different shapes, and comparing quotes means first working out which shape each one is. Per provider per month is the common one. Percentage of collections turns up where billing services are bundled. A few still sell a licence with an annual maintenance line, and several charge support staff at a separate rate. None of these is dishonest; they simply cannot be compared until you convert them to the same thing, which is the whole term for your seats.

Name the pricing shape on each quote
Per provider, per seat, percentage of collections, or licence plus maintenance. Write it on the sheet, because a quote whose shape you have not named is a quote you are about to compare on the wrong axis.
Convert a percentage quote into money
If a vendor prices on collections, put your own last twelve months of collections through it rather than a round number. A percentage that sounds small against a small practice becomes the largest line on the comparison once the arithmetic is done.
Ask what is excluded, then price the exclusions
Interfaces, e-prescribing of controlled substances, patient reminders, the reporting module and extra storage are the usual exclusions. Each one you need is part of the price, so it goes into the calculator as a seat cost or a one-off.

What an owner asks before filling in the EHR pricing comparison by vendor
Which pricing shape is cheapest? None of them, in general. Percentage pricing is cheaper for a practice with low collections and expensive for a growing one; per-seat pricing is the reverse. It depends entirely on your own numbers, which is why this is arithmetic rather than an opinion.
Should I negotiate the implementation fee or the monthly rate? Work the whole-term total both ways in the calculator before you decide. On a five-year term a discount on the monthly rate is usually worth more, but on a large implementation fee and a short term it is the other way around.
Do you list vendor prices? No. There is no price list on this site. Put the quotes you have been given into the calculator and it works the comparison on your seats and your term.
